Sensational functionality and usability updates

If you catch yourself smiling more and feeling increasingly carefree during the longer days of the season, consider it a side effect of this time of year or maybe it’s related to our newest Flock release enhancing overall functionality and many new cool features. 

Please note that not all features are automatically applied to your companies. Many of these new features do require you to make edits or turn on the new functionality from within the broker portal or HR Administrator settings page.

1. Life Insurance Age Reduction Support (employer paid plans)
In our last release we added Age Reduction Support for voluntary plans, and in this release we have added Age Reduction Support for employer paid plans. Once set-up via the broker portal, Flock will automatically identify employees who meet certain age limits (typically 60+ years of age). Flock will recalculate the new rate/benefit for reporting purposes. 

How to Set This Up:  Brokers will need to update the broker portal for each client they’d like to add age reduction support.

2.  Multiple Rating Support (tied to pre-enrollment question)
Many carriers have underwriting requirements which charge varying rates to employees and/or dependents based on  tobacco use or other pre-enrollment questions such as taking a recent wellness exam.. Flock now supports the ability to create one or multiple questions to reflect the correct carrier premium rate based on the employees answer to the question(s). Additionally, this functionally is flexible enough to support premium rate credits and/or surcharges that an employer may introduce to drive specific behaviors in their employee population (e.g biometric testing, spousal surcharge). This functionality is now available for age-banded rates at the product level for medical, dental, vision and voluntary products. 

How to Set This Up: Brokers will need to click on the edit icon for each product and then rates and contributions. Select “Age Banded/Community Rated” then “Multiple Rates” toggle button. Follow the steps from there and don’t forget to click on “Save & Continue”. 

3. Payroll Support Pre/Post Tax Elections
Flock is bringing you more choices to assist your most valuable asset: Human Capital. Most employers deduct the employee’s portion of the monthly carrier premium on a pre-tax basis. However, there are some instances where state tax rates run higher than average or a high net-worth individual prefers to have the co-share deducted on a post-tax basis to reduce their overall tax liabilities. You can now offer this choice to each employee during the benefits enrollment flow process. Your broker can configure this in the broker portal in the configurations section. The employee pre-tax/post-tax election can be reported out using Flock’s custom reporting.

4. Flexible Spending Accounts (FSA)
We have added enhanced FSA functionality:
●    The ability to illustrate an employer contribution
●    Determine if you wish to display it as a monthly or annual employer contribution
●    The employer contribution amounts can be segregated by enrollment tier (EE, EE+Spouse, etc)
●    Flock supports a whole dollar contribution or an employer matching percentage based on the employee’s monthly or annual contribution
●    Flock supports an annual employer maximum dollar cap for a percentage matching plan
●    Auto validation & messaging to assist your employees in not exceeding the ever-changing IRS annual limits

Finally, you also have the ability to customize the text which describes the plan to each employee during the benefits enrollment flow process. Displaying a company match program to your employees not only helps to drive better employee participation but to also drive home the actual value of the benefit and making it a great place to work!

5. Health Saving Accounts (HSA)
We have added enhanced HSA functionality:

6. New Hire Invites
If you have a new employee who is having trouble logging into Flock for the first time, you can simply go to their profile click the invitation button and copy the login link. You will then be able to email this link directly to your new hire which will get them into Flock ASAP!

7. HRIS/Benefits “Quick Link”
We understand how busy our HR administrators and broker partners are and want to ensure we can increase the ability to limit your time in Flock while searching for crucial employee data. For this reason, we added new functionality to quickly navigate back and forth between an employee’s demographic information (snapshot of carrier required info) and their current benefit elections. Take a look and click in the new icons in both the employee’s profile and the their benefit elections page. 

Please note, this view will only be available to HR company administrators and if permissions are set for the broker partner who have HRIS access.

8. Broker Portal Reminders
We are all busy multitasking each day and on occasion, our broker partners may deactivate a client’s benefit offerings within the broker portal without remembering to re-activate. As you know, this displays a placard to the employees that the broker is updating plan information but it also keeps the employees from seeing the enrollment screen and taking any benefits enrollment actions. Flock will now send an email to the broker team when your account has been deactivated for more than 60 minutes, just in case this was an oversight.

9. Eligibility Group Enhancements
We have revamped the benefits eligibility group creation process and added advanced features.  We have also provided an easier user interface when creating or editing existing eligibility groups. Remember, your eligibility groups make Flock a rules based system of record and the ability to make quick edits by the broker and/or the HR Administrator is crucial.  

10. URL or Document Upload with Plans
This enhanced feature allows our broker partners to add in URLs for additional details to plan summaries when creating Medical, Dental and Vision benefit plans.These documents are there to assist, educate or remain in compliance during the employee benefits enrollment flow. The URL will also let you rest knowing the data is kept up to date online rather than a PDF version which can become obsolete in a short period of time.   

11. Cobra Indicator
COBRA can sometimes be elusive to keep track of even when using a COBRA vendor. Flock wants to makes this process a bit easier with a COBRA indicator. You can simply indicate in the employee profile who is currently enrolled in COBRA coverage via their going to their profile, then Employment tab and clicking Yes/No for COBRA Enrolled for all employees ineligible for benefits. You will be able to see a COBRA header on the offboarded employee dashboard and the status will report out to help you better audit your carrier monthly list billings. To make this easier to manage, we will default off-boarded employees to COBRA - Waived and you can change this if they elect at a later date.

How to Set This Up: HR Administrators will need to go to an offboarded employee’s profile, click on employment tab, then look for COBRA and select the “Yes” radio button and click on “Save & Continue”.

12. Enhanced Data Reporting/Importing
We are constantly looking for ways to enhance our reporting and importing capabilities within Flock. Based on feedback from our broker and client partners we have added the ability to run effective date based reports so you can not only see employee information based on the change date, but also based on their effective dates. Also, the pre-defined and custom reporting sections have been updated to incorporate the new employee plan related election information in this release. Report on!

13. Voluntary Product Uploads
Are you considering offering more than two of the same type of Voluntary Products? With Flock, voluntary products can be in the same category but offer different levels of benefit.  With this release, if you have a passive enrollment and need to upload the different Voluntary Products in the same category we can support that simple upload as well. 

How to Set This Up: Brokers, you can build this at renewal or for any new employer's right away.  For current employers, if any have Other 1 Voluntary plan subtype plans, for example, instead of the benefit type they should have, you can choose to map those elections to the Other 1 column to match what you’d like it to be in.  Please reach out to Support to assist if you have any questions.

14. I-9 & W-4 Filtering
We have now added the functionality filtering a task, broadcasting a message or creating a poll in Flock, you can now sort from expanded filtering categories (job location etc.). You can now easily create specific task list(s) for any type of new hire or onboarding experience even support international employees where the compliance steps may not always be applicable.  Only the correct employees will receive the digitally supported I-9 and W-4 compliance tasks. 

How to Set This Up: HR Admin, please go to your onboarding/offboarding tasks area and edit the task filtering from All to the parameters you would like displayed.

15. New Hire Announcements & People Profile
We have added new functionality in the Settings tab for HR administrators to suppress “New Hire Announcements” on the Flock home activity page. If you choose to announce this information automatically, this would now show up in the activity feed on the employee’s actual date of hire. Note that Flock will not display the new hire’s information within the People tab until their actual hire date. 

How to Set This Up: HR Admin, please go to your Settings page, Security and Permissions to enable/disable accordingly.

16. Alphabetized Sort Bar
You can search for your employees in the people tab by headers, a search box or our newest way, an alphabetized sort bar. Simply click on the first letter of the employee’s last name and all associated employees will appear. We also greyed out the letters for those already in the Flock system. In this sample screenshot, you can see we only have employees with a last name that starts with the letters “J” or “U”. One and done.

17. Test Employee
We have simplified test employee creation within Flock. These test employees will not be a part of any company default reporting and/or any data migration for carriers.  You can add the test employee during the hiring process or even after the fact, by going to the employee profile, employment tab and select “Yes” for the Test Employee radio buttons. Note that test employees will not show up to employees on the people directory or org chart.

18. Configurations Page
We have created an easier approach to adding a new company into the Flock platform. The new “Configurations” step captures any carrier and company settings which typically will apply to all employees. Some of the options can also be changes at the product level as well and this page should speed your overall builds into Flock.
